1. Problem / Symptom
When attempting to send a Work Order from an experiment, the collaboration that you are looking for is not available.
2. Root Cause
When a new collaboration is created and assigned to a CRO department, its default lifecycle state is "New".
Resolution Steps
Step 1: Activate the Collaboration
As a Synergy admin navigate to Synergy Configuration > Collaborations (Collabs).
Locate and open the collaboration linked to your work order.
Check the current status badge (it will display New).
Click on "New" (or the status dropdown) and select Send.
Wait for the page to update — the status will change from New to Active.
Step 2: Send the Work Order
Return to the Work Order screen.
Refresh the browser page to reload the updated collaboration state.
Verify that the Send button is now enabled.
Click Send to dispatch the work order and linked draft experiment to the CRO.
5. Verification
To verify that communication is working properly:
Log in to the CRO tenant / portal.
Check the Notification Bell icon — an alert indicating a new incoming work order should appear.
Open the Collaborations section in the CRO view:
Confirm the collaboration is visible and listed as active.
Open the collaboration to confirm that the Work Order and associated draft experiment are accessible.
6. Pro Tip / Common Pitfall
Note: Creating a collaboration does not automatically activate it. It is common for users to create the CRO, create the collaboration, create the work order, and immediately try to hit Send on the work order. Always ensure the collaboration itself has transitioned to Active before attempting to transmit work orders.
