Description
Raw analytical data files remain in the configured raw data folder (Scan Path) and are not moved.
Depending on the underlying cause, this presents in one of two ways:
1. Files are completely ignored: The Automation Server does not pick them up, and no processing takes place.
2. Infinite reprocessing loop: The Automation Server repeatedly processes and re-attaches the same dataset because it cannot delete or move the file out of the Scan path.
Solution
-
Automation Server is not running or hung
- In Windows Task Manager → Details, confirm that SMROBOT.EXE has a Running status. Tip: The Automation Server status can also be checked via the Server Manager Console (SMC).
If stopped, start the Automation Server via SMC or Windows Services.
If running but unresponsive, restart the Automation Server via SMC.
-
ActiveMQ service is not running:
- In Windows Task Manager → Services, check that ActiveMQ has a Running status. Start it if needed.
- If ActiveMQ is running but the problem persists:
- ActiveMQ connections are missing or consumers = 0
- Open a browser and go to the ActiveMQ admin panel: http://localhost:8161/admin
- On the Connections tab, ensure the following connections are present:
• ActiveMQ ↔ Web Server (Connector openwire)
• ActiveMQ ↔ Automation Server (Connector stomp) - On the Queues tab, verify that the Number of Consumers is not zero.
- If connections are missing or consumers = 0 for all queues, restart the Automation Server from SMC.
Note: Some unused legacy queues may have zero consumers; this is expected. However, the acd.kat2.uploadwell queue must have more than zero consumers.

Service Account Permissions and File Locks issues
- The Windows service account running the Automation Server has Read permissions (allowing it to ingest data), but lacks Modify or Delete permissions in the Scan directory, or lacks Write permissions in the destination folders (Processed or Failed). Alternatively, another application (such as the instrument data acquisition software or synchronization software or antivirus) is actively locking the file.
Identify the Windows service account used to run the Automation Server (SMROBOT.EXE).
Verify that this service account has Full Control (or at minimum Read, Write, and Delete / Modify) permissions on the network share and local folder structures for the Scan, Processed, and Failed directories.
Ensure the acquisition software or synchronization software has finished writing and released all file locks before the files are swept.
Verify that antivirus or backup software is not holding locks on newly created raw data files.
Check Healthcheck logs for issues with accessing the Scan folder for the corresponding instrument. See this article for more information.
- Raw data folder’s Scan Path is not correctly configured.
- The instrument record set points to an incorrect or obsolete folder directory, so Katalyst is not monitoring the folder where files are being dropped.
In Spectrus DB client, open Instruments record set, find corresponding instrument record.
Confirm that the configured Scan Path matches the exact directory where the instrument or synchronization software outputs data.
Ensure that the scan mask matches the data type.
Check Healthcheck logs for the corresponding instrument. See this article for more information where to find the logs.
If the issue persists, contact your internal support team and provide a detailed description of the problem along with any relevant screenshots. In addition, please collect and share the log files described in the corresponding article with Revvity Support for further investigation.
