Managing users and licenses, deactivating accounts, and setting up authentication are a few of the most common issues facing a tech admin for institutional accounts. Below is our recommended approach to address these issues. There is a difference in the manner with which these issues are handled depending on which product(s) are being used. ChemDraw follows one path, and Signals tenant products (Signals Notebook and Signals ChemDraw) follow a separate, albeit similar, path.
General issues regardless of Product
1)Ensure that students and staff are aware of the Products and the version available to them (especially students and staff that may have used the software in the past). In an effort to assist with communication, we have created two templates (attached below) for notifying the students and staff of the information regarding their ChemDraw access. Simply download the required template, add the required information and distribute to staff and/or students. We also recommend you point users to the “How to get started with ChemDraw as a University Student” article for instructions.
2) Ensure that students and staff are aware of the hardware/software requirements for the software they have access to. If possible, let students entering a program that allows use of ChemDraw know what the computer requirements are in advance. Newer versions of ChemDraw are compatible with Windows 10 and Windows 11, but there are limitations for Mac users regarding the OS version supported. Tablets/ipads/mobile phones are not supported devices by any of the product line currently.
3) Please reach out to your internal IT teams to ensure that emails from @revvity.com and @flexnetoperations.com are whitelisted or on an allow list. This will ensure students get the emails with important information regarding access to the software.
User and License management for ChemDraw Prime or ChemDraw Pro
User and license management for non-Signals ChemDraw products is handled through Flexera, our third party Download Center. As the Administrator, you should have access to Flexera and can monitor users and licenses from the portal. You can also set up restrictions that only allow users from a specific email domain to have access to the account - PLEASE be sure to list ALL valid domains. Failure to do so will result in a student's access being rejected by our verification system. You will also have the ability to add/remove users from the account at your discretion. If you have an Entitlement that is not a site subscription, please be very specific as to what you tell users to download from the Download Center, as it will have an impact on license counts and activation limits if they are selecting the wrong entitlement.
User management for Signals ChemDraw
User management in Signals tenant-based systems is managed in one of the three ways described below.
- For tenants with a relatively small number of users, it is possible to add users manually and assign them a license with little effort.
- For tenants with a larger number of users or a large demand to add users in a relatively short amount of time, it is possible to use a template based solution. All the users are added to the template and imported into the tenant. It is also possible to delicense users with the template based solution.
- A final option is self-registration, which requires a bit more work to set-up. Please see the following article that describes how to set this up.
- Once users no longer have a need to access the system, it is now also possible to deactivate users in bulk.

A Signals tenant uses Auth0 as the default authentication method. We have several other authentication methods outlined in our knowledge base. If you do not see the method you are wanting to use for authentication, please contact Revvity Support.
